Talent Privacy, Profile & Marketing Consent Policy

This Talent Privacy, Profile & Marketing Consent Policy (“Policy”) governs the collection, creation, maintenance, use, publication, distribution, and presentation of professional information relating to individuals participating in the CrewPODS Talent Network operated by XTRA Crew LLC (“XTRA,” “CrewPODS,” “Company,” “we,” “our,” or “us”).

By submitting an application, profile information, resume, portfolio materials, assessment responses, photographs, certifications, work history, or other professional information to CrewPODS, you acknowledge and agree to the terms outlined below.

1. PURPOSE OF THE CREWPODS TALENT NETWORK

CrewPODS exists to identify, evaluate, represent, market, and connect highly qualified production, audiovisual, entertainment technology, broadcast, creative, and event professionals with clients seeking staffing, consulting, and production support services.

Participation in the CrewPODS Talent Network is voluntary.

Nothing in this Policy guarantees employment, project placement, work opportunities, minimum earnings, or future engagements.

2. INFORMATION WE MAY COLLECT

To effectively evaluate and represent talent, we may collect and maintain information, including but not limited to:

Professional Information

  • Full name

  • Preferred name

  • Contact information

  • Home market

  • Travel availability

  • Resume or CV

  • Employment history

  • Project history

  • References

  • Professional affiliations

  • Industry awards or recognition

Technical Qualifications

  • Certifications

  • Manufacturer training

  • Software proficiencies

  • Equipment experience

  • Specialized technical skills

  • Language proficiencies

  • Safety training

  • Industry credentials

Portfolio Materials

  • Project photographs

  • Event photographs

  • Show site images

  • Installation images

  • Production credits

  • Case studies

  • Portfolio examples

  • Demo reels

  • Website links

  • Social media links

Assessment Information

  • CrewIQ™ Assessment results

  • Skills evaluations

  • Interview notes

  • Professional observations

  • Performance feedback

  • Leadership evaluations

  • Communication assessments

Media Assets

  • Professional headshots

  • Submitted photographs

3. MEMBER PROFILE CREATION

You authorize XTRA Crew LLC to create, edit, organize, format, and publish professional profile materials based upon information you provide or authorize us to use.

These profiles may include:

  • Professional biographies

  • Skill summaries

  • Career highlights

  • Project experience

  • Technical competencies

  • CrewIQ™ results

  • Client-facing talent summaries

  • Industry experience descriptions

  • Portfolio showcases

XTRA may make reasonable editorial adjustments for clarity, formatting, grammar, branding consistency, marketing presentation, or client communications.

We will not knowingly publish materially false information.

4. MARKETING AND PROMOTIONAL CONSENT

You grant XTRA Crew LLC a non-exclusive, worldwide, royalty-free license to use your professional information for legitimate business purposes related to recruiting, staffing, marketing, and talent representation.

This may include:

  • Website profiles

  • Talent directories

  • Client presentations

  • Proposal packages

  • Capability statements

  • Marketing campaigns

  • Social media promotion

  • Recruiting initiatives

  • Sales presentations

  • Talent showcases

  • Industry collateral

This license remains in effect while you participate in the CrewPODS Talent Network.

5. PHOTOGRAPHS, HEADSHOTS AND VIDEO CONTENT

You authorize XTRA to use photographs, headshots, videos, interviews, and related professional media assets you provide or authorize us to obtain.

Such materials may be:

  • Edited

  • Cropped

  • Color corrected

  • Formatted

  • Incorporated into branded materials

XTRA will not intentionally use such materials in a defamatory, misleading, or inappropriate manner.

Ownership of original media remains with the original copyright owner.

6. CREWIQ™ ASSESSMENTS AND PROFESSIONAL RATINGS

CrewIQ™ assessments are proprietary evaluation tools developed and maintained by XTRA Crew LLC.

You acknowledge and agree that:

  • Assessment scores are subjective professional evaluations.

  • Scores may change over time.

  • Assessments are intended to assist staffing decisions.

  • Assessments are not guarantees of ability or future performance.

  • XTRA retains ownership of assessment methodologies and scoring systems.

CrewIQ results may be shared with clients as part of talent presentation materials.

7. CLIENT PRESENTATIONS

When presenting talent to prospective clients, XTRA may disclose:

  • Resumes

  • Professional biographies

  • Skills matrices

  • Certifications

  • Availability information

  • Assessment summaries

  • Project experience

  • Portfolio materials

  • Client references when authorized

Such disclosures are made solely for staffing, recruiting, consulting, and business development purposes.

8. PERFORMANCE FEEDBACK

You acknowledge that XTRA may collect and maintain professional feedback from:

  • Clients

  • Project managers

  • Technical directors

  • Department leads

  • Crew chiefs

  • Producers

  • Fellow team members

This information may be used to:

  • Improve profile accuracy

  • Evaluate future opportunities

  • Support CrewIQ assessments

  • Improve staffing decisions

  • Maintain service quality standards

 

Reasonable efforts will be made to evaluate feedback fairly and objectively.

9. PRIVACY OF SENSITIVE INFORMATION

CrewPODS does not intentionally publish confidential personal information including:

  • Social Security numbers

  • Driver’s license numbers

  • Passport numbers

  • Financial account information

  • Tax records

  • Payroll information

  • Medical information

  • Emergency contacts

Such information will only be disclosed when legally required or necessary for project administration.

10. MEMBER REVIEW AND CORRECTIONS

Members may request updates or corrections to profile information at any time.

Upon verification, XTRA will make reasonable efforts to correct inaccurate information within a reasonable period.

XTRA reserves the right to maintain internal evaluation records and business records as necessary for legitimate business purposes.

11. PROFILE REMOVAL

Members may request removal from public-facing CrewPODS marketing materials by providing written notice.

Upon receipt of such notice:

  • Public-facing profiles may be removed within a reasonable period.

  • Future marketing use will cease.

  • Existing client proposals, historical records, and archived business materials may be retained.

  • Internal staffing records may continue to be maintained where legally permitted.

Removal from marketing materials does not require deletion of all business records.

12. INTELLECTUAL PROPERTY

CrewPODS profiles, CrewIQ™ assessments, skills matrices, marketing layouts, profile formats, rankings, evaluation methodologies, and related materials remain the intellectual property of XTRA Crew LLC.

Members retain ownership of their original resumes, portfolio materials, photographs, and copyrighted works unless otherwise agreed.

13. LIMITATION OF LIABILITY

To the fullest extent permitted by law, XTRA Crew LLC shall not be liable for:

  • Client hiring decisions

  • Lost work opportunities

  • Business losses

  • Reputation disputes arising from accurate information

  • Third-party misuse of publicly available profile information

  • Unauthorized sharing by clients after lawful disclosure

Our total liability shall not exceed the amount paid by the member to XTRA Crew LLC, if any, during the twelve (12) months preceding the claim.

14. CHANGES TO THIS POLICY

XTRA Crew LLC may update this Policy from time to time.

Updated versions become effective upon publication.

Continued participation in the CrewPODS Talent Network constitutes acceptance of the revised Policy.

15. ACKNOWLEDGEMENT AND CONSENT

By joining the CrewPODS Talent Network, submitting information, maintaining an active profile, accepting representation, or participating in CrewPODS services, you acknowledge that you have read, understood, and agree to this Talent Privacy, Profile & Marketing Consent Policy.
